An attractive and effective booth display is important to having a successful Show. Here are some things to think about when designing your booth display.  Once you have mastered these, you can move on to creating your Booth Design.

Electrical

Please note that an inspector from the Electrical Safety Authority will be on-site at the Enercare Centre to inspect all exhibitor booth lighting and electrical wiring during move-in. The following regulations must be adhered to:

Electrical Appliances in Booth Display: All wiring must be done in an approved manner, acceptable to the latest edition of the Ontario Electrical Safety Code and the ESA inspector. The OESC and ESA will not accept:

  • open joints
  • joints that are taped
  • ungrounded wiring
  • improper box connectors

Any lighting or wiring that is not factory assembled must be approved by an accredited approval agency prior to move-in. A list of agencies can be found on the Electrical Safety Authority website. Exhibitors will have to place an order at exhibitor services for the in-house electricians to correct any deficient wiring, a standard hourly rate will be charged for this service. Exhibitors placing on-site orders to correct wiring that is not up to code will be worked on as soon as all pre-ordered orders are installed. It is strongly recommended that all wiring and lighting inspections and corrections be taken care of before being brought on site.
 

Electrical Products for Sale by Exhibitor: Any electrical product (eg. lamps) being sold at the show must be CSA approved for parts AND assembly. Though all lamp parts might be CSA approved, when they are assembled together to make a new electrical product, it does not assure that this item has been assembled correctly or is electrically safe. Any new electrical product requires an inspection certificate from an approved company.
 

Electrical Outlets in Booths: You are required to order electricity from ShowTech. Please complete and return to SHOWTECH the "Electrical Order Form" (see link below) by the deadline to receive a special discount. Power and telecommunications are supplied to booths via floor ports, located every 30 ft. on centre throughout the hall.

In our experience:

  • Most exhibitors in a full booth will need a 1500 Watt, 120 Volt Duplex Outlet (E1500)
  • Most exhibitors in our special sections (5'x10' or smaller booths only) will only need a 750 Watt 120 Volt Duplex Outlet (E800)
     

The amount of electricity you will use can be calculated by multiplying the number of fixtures you have by the wattage indicated on each light. Remember to order enough wattage to accommodate extra equipment (in addition to lights) such as a dustbuster, computer, Debit/credit card machine, cell phone charger, etc.

SHOWTECH may audit each booth and bill you directly for any wattage you use above and beyond what you ordered.

If you have any questions about the power in your booth please contact SHOWTECH or visit their office at Exhibitor Services. Please do not use more wattage than you have ordered since it may cause a power shortage in your area and affect your neighbours.

Electrical Safety

The Electrical Safety Authority’s mission is to improve electrical safety for the well-being of the people of Ontario. ESA is responsible for administering specific regulations related to the Ontario Electrical Safety Code with regards to electrical product safety.

Exhibitors who are selling an electrical product (e.g. lamps) must be CSA approved for parts AND assembly. Though all lamp parts might be CSA Approved, when they are assembled together to make a new electrical product, it does not assure that this item has been assembled correctly or is electrically safe. Any new electrical product requires an inspection certificate from one of the approval companies listed on the Electrical Safety Authority Website.

Flooring

All exhibitors (expect those in Rising Stars) should bring their own floor covering to the show. The exhibit hall in the Enercare Centre has a cement floor with electrical ports in it. You may bring carpet or another type of floor covering that is securely taped down to the concrete with carpet tape so that your customers will not trip on it. The Fire & Safety Inspector will be checking for this.

Floor covering must NOT be adhered to the show floor using masking tape, clear packaging tape or plastic or duct tape. It is recommended that exhibitors use Scapa Tapes’ carpet tape which is a high-adhesion double-sided cloth tape commonly used at trade shows. it leaves almost no residue upon removal.

TIP: If you are using carpet, use an underlay as well. The cement floor is unforgiving and your back and legs will thank you!

Ceiling

Exhibitors who wish to have a ceiling in their both must first obtain permission from show management.

Once permission has been granted, exhibitors with ceilings must adhere to the following:

  • A covered roof/ceiling will require the material, whether fabric or a hard surface, be fire treated. (Green Dolphin provides a variety of fire treatment services).
  • The fire treatment must be done before exhibitor move-in.
  • Exhibitor must provide proof of fire treatment to show management before show opening.
  • Exhibitor must provide their own 5 lbs. ABC fire extinguisher that is visible and accessible always during the show. Booth staff must be trained on its use by completing this online course: canadasafetycouncil.org/product/fire-safety/.

Food Selling & Sampling Guidelines

 Any exhibitor wishing to sell food at the One of a Kind Show must review the Food Sales Guidelines and complete the Spectra Food Sales Agreement.


Please note that food and beverage sampling has been temporarily discontinued for the Winter 2021 show.

Furniture

If you would like to rent hard walls, tables, display counters or other materials for your booth display, this can be done using the online order forms from our show decorator, Stronco. They will also have an order desk onsite should you need to make arrangements when you arrive.

Exhibitor Insurance

Informa Canada Inc. will not be responsible for any injury, damage or theft occurring on the way to or from the shows or while onsite. Exhibitors must secure adequate insurance coverage, protecting themselves and all exhibit material from damage or theft.

Liability insurance is required as part of your contract. You are responsible for any loss or damage occurring at your booth. Please see Clause 5 of Schedule A in your contract for further details. If you do not already have liability insurance, a minimum policy of $5,000,000.00, per occurrence is recommended. Call your insurance company to become insured for the duration of the Show. You must list Informa Canada Inc. and Enercare Centre as additionally insured.

It is NOT necessary to send the One Of A Kind Show a copy of your insurance, but we recommend that you bring a copy to the show for yourself.


Duuo Insurance

 Duuo is the preferred insurance provider at this year’s event. Duuo provides coverage for the days you’ll be exhibiting without any service fees or the need to speak with a broker. Accessibility

The Accessibility for Ontarians with Disabilities Act (AODA)

AODA should be considered both in terms of your booth design and your customer service plan. Keep in mind that disabilities aren’t always visible, and we can’t always tell who has a disability. For example, disabilities can include vision disabilities, deafness or being hard of hearing and intellectual and mental health disabilities. Think about how you can give people with disabilities the same opportunity to access your goods and services, and in a manner like that of other customers. Consider how you will communicate with a person with a disability in a way that considers their disability.

Internet & Phone Service

If you would like an internet connection or a phone installed in your booth, please complete the appropriate order form from the Enercare Centre below. Please note that cell phones do not always receive a signal inside the building. We are sorry that we cannot allow exhibitors to use the phones in the Show Office.

Lighting

To create an intimate atmosphere, the overhead lights will be dimmed in the hall during the Show. This makes lighting one of the most critical components of your booth display. You must bring your own lighting or rent lighting from SHOWTECH using the Online Order Form.


Keep in mind the following when planning your lighting:

All fixtures must be CSA approved. Look for the sticker when you purchase your lights.

Lights with clamps must have ceramic or plastic sockets.

The use of strobe lights is strictly prohibited.

There are several options to choose from if you need to rent your lighting. CEILING MOUNTED LIGHTING RENTALS


This overhead ceiling lighting option covers approximately a 10'x15' area.

 

 

WALL LIGHTING RENTALS

Wall lighting rentals clip easily onto hard walls. Note, these lights cannot be clamped onto the drapery cross-bars.

 

 

Pipe & Drape

Your booth includes pipe and white drapes that act as a divider between you and your neighbours. The pipe and drapes are 8 ft high. You may bring fabric to add to the drape, using Velcro, “s” hooks, or pins. Alternatively, you may order extra pipe from Stronco or you may install a hard wall system as a backdrop (preferred). We highly recommend you do NOT use the white drape as your background. 

NOTE: The use of grid systems for your booth structure is prohibited.

SPECIAL SECTIONS: There is no pipe and drape in the Rising Stars.  Rising Stars must bring their own freestanding display structure.

If you need an extra cross-bar for your booth (for example, to run across the top of the front of your booth to clamp lights to) you can order it from Stronco Show Services. Please order through Stronco's online portal linked below.

DIMENSIONS

Keep in mind when designing your booth that your entire display must fit within the confines of the booth size for which you have been contracted. This includes tables, chairs, merchandise, signage, you and your staff, etc. Due to the pipe and drape construction, the internal dimensions of your booth space are slightly reduced (the pipe diameter is approximately 1 ½”). Please keep in mind the actual dimensions - especially if you are bringing your own hard wall system.

HEIGHT: Your booth display must also be no taller than the standard 8-foot height of the booth walls or pipe and drape--no exceptions!

Staying Within the Borders of Your Booth

 It is important that you do not extend your display into your neighbour’s space or the aisles.  If you exceed your booth size, you will be asked to change your display so that it fits within the proper dimensions, or you will be invoiced for the extra space. Also, chairs must be placed INSIDE your booth or you will be asked to remove them.

SIGNAGE

A booth number sign will be provided during move-in so that customers may easily locate your booth. Please refrain from moving, removing or altering the booth number sign, as customers require it to locate your booth easily. The booth number signs will be collected at show closing. These booth number signs will be reused at other shows, so we ask that you treat it with care.

 Booth numbers will be available on October 21, 2021. You will receive an Artisan Newsletter with full instructions for finding yours when they are live. However, your booth number will only be released once you are paid in full and have updated your Artisan Profile.

Please note that “Discount”, “Sale”, and “No HST” signs are strictly prohibited, as are handwritten signs. You will be asked to remove any signs of this nature from your display. Any sign that is part of your display must be within the confines of your contracted space and must not obstruct other booths or come out into the aisles. If this happens, you will be asked to remove or reposition your signage.
